The bottom line:
In the coming week PBS will have to shut down the Meeting Room Booking System (used for the Psychology Building and MSB-II) and Paid Research Experiments System. Temporary replacement processes are described below.
Background:
As many of you know PBS is wrapping up a major IT audit. Such audits happen every 5 years for departments such as ours. We have been hit with one red flag item: the continued use of two servers running unsupported operating systems that do not meet contemporary security standards. These two servers host our custom Meeting Room Booking System and Paid Research Experiments System. We have kept these two unsupported servers running while patiently awaiting the roll-out of a new graduate student application and tracking system and the hiring by the College of a software developer to re-write the code for these and other programs in a language supported by newer operating systems. Amy Holtzworth and will spare you the details of our efforts to push the university administration on the graduate application and tracking system and other efforts. Now that Provost Robel and Vice President Brad Wheeler are getting word of these audit findings, our time has run out. We have to shut down these servers by the end of the week.
Changes in Room Booking and Paying Experiments --9.19.18 Meeting Room Booking—IT staff found and began testing an IU service (Ad Astra) to replace the custom-built MRBS and it will be fully adopted next week. All staff members who are the go-to-staff for meeting room reservations will continue to be able to reserve rooms as they have in the past. If the adoption of this service goes well, the department would be able to use it on a permanent basis. More details about how to book a room will follow later this week.
Paid Research Experiments System—As a stop-gap measure, researchers and the staff who pay subjects will need to begin using written receipts for payment. This manual receipt system will need to be in place as soon as possible. As they do now, lab managers will need to designate who is allowed to provide receipts to subjects. As a further security measure, subjects will need to be accompanied to the main office window by a lab member. Contact Misty Bennett (mb35@indiana.edu) for questions about these written receipts.
The KID Database and Graduate Application Systems are similarly affected and the relevant parties have been notified of stop-gap measures for those systems too.
